Inside the service
Cars, trucks, and trailers are usually managed through a side spreadsheet for registrations and insurance, and they change drivers over a phone call nobody documents — so the violation surfaces after it happens and damage disputes have no reference. This service gives the light fleet its own record under its own numbering, holding the plate, the documents, the odometer reading, and the assigned driver, and turns vehicle handover from verbal custom into a signed custody report with photos and condition — responsibility for every vehicle backed by a document, not a story.

A class with its own numbering
Vehicles are a standalone class in the system: their internal number is unique within their own class, so a vehicle and a heavy machine can carry the same number without conflict, and that readable number — never a system identifier — is what appears on every screen and link. The classification, car or trailer, is picked from one unified list that appears in both the add form and the import template, and the meter reads kilometers first, with dual-meter support when a vehicle needs it.

Custody that closes disputes
Vehicle handover is documented on a custody form that marks the vehicle's condition on real photographic diagrams from every angle, so scratches and damage are flagged in place instead of described in prose. It is sealed with an electronic signature, then printed as a delivery-and-receipt report ready for paper archiving. On return, the condition is compared against what the vehicle was handed over with, so any damage dispute is settled by the report, not by memory.

Documents ahead of the checkpoint
The vehicle's registration, insurance, and periodic inspection are recorded with their expiry dates on the vehicle's own record. The system sweeps them daily, spots anything expiring within thirty days, and alerts the responsible staff with a message naming the vehicle and the days remaining, escalating to critical when seven days or fewer remain — with an email to company management. An expired registration is discovered before the checkpoint, with time enough to renew.

The field records through the code
The code stuck on the vehicle opens a public page with no account, from which the driver records the daily inspection, a fault report, a movement, or a photo-backed maintenance report, and documents a traffic accident through a dedicated form that saves its description and photos straight onto the vehicle's record. The page is multilingual and speaks the drivers' languages, and whatever is recorded from it awaits management review wherever approval is required.

Bulk onboarding and updates
The vehicle import template carries the same Arabic columns the add form knows, and its dropdowns are drawn from the system's own lists for vehicle kind, status, and measurement system, so no value drifts from what is expected. The pre-execution preview shows what will be added, updated, or skipped with the reason; a row matching an existing internal number updates that record instead of duplicating it, and an empty cell never wipes a stored value.
