How do I manage a company car fleet step by step?
Register each car with its internal number, plate and assigned driver, enter its registration, insurance and inspection with expiry dates, and set its service interval on kilometres or date. Then hand it over with a custody record, and follow its reports and cost from the same screen. For a large fleet, bulk import from ready templates shortens registration.
Is it for the fleet owner or for maintenance workshops?
It is for the fleet owner: a service schedule per car, registration, inspection and insurance alerts, driver custody and cost per car. The workshop cycle inside it — entry and exit as movements, work orders and parts — serves repairs on your own cars.
Does it alert me before registration, insurance and periodic inspection expire?
Yes. Each document has an expiry date and three states: valid, expiring within thirty days and expired, with an alert before expiry at a lead time you set per type, and a compliance board of what expires this month and what already has. There is no automatic link to government bodies that reads a document's status; the date is entered and followed.
Does it schedule maintenance by kilometres?
Yes, on kilometres, or on date for an asset with no usable meter. The system does not assume an interval of its own: until one is entered the asset shows «needs setup» instead of a false schedule, and a meter reading that jumps unreasonably needs confirmation.
How do we document handing a car to an employee and taking it back?
With a handover record carrying the condition assessment, meter reading, photos and a digital signature, exported as a file bearing a verification code, so the condition at return is compared with what was handed over. For printing there is a custody form ready for signing and paper filing.
How do we handle a company car accident?
The accident is one file: parties, witnesses, location, photos, damage map, the competent authority's report number, liability share, insurance expiry date and cost, then the repair path to a documented closure. There is no direct integration with insurers' systems; claim data is prepared and exported from the file.
Does it track the location of company cars?
There is no live tracking of a vehicle's location. Location is recorded with the field action or the approved movement, and the platform needs no device on the car. The signed custody and the meter readings answer the everyday questions of use.
Does it calculate drivers' salaries or attendance?
No. The drivers and employees register is an operational register with disciplined roles that feeds the pick-lists in the modules, not a payroll or financial attendance system. Vehicle custody records with their signed forms are run from the vehicles module.
