    A car, truck, trailer or heavy machine with a fixed identity and internal number, and everything that happens later — maintenance, documents, faults — is booked to it.

  • Custody with a signature

    Who takes the vehicle, when, in what condition and at what meter reading, with an electronic signature and a printable custody form, so the condition at return is compared with what was handed over.

  • Preventive maintenance on the meter

    Plans on operating hours or kilometres — or on date for assets with no meter — with an alert before the due date. The system never assumes an interval of its own: until you enter one, the asset shows as «needs setup».

  • Documents with early alerts

    Registration, insurance, periodic inspection and equipment licence, each with an expiry date and a digital copy, in three states: valid, expiring within thirty days, and expired.

  • A fault report from the field

    The driver scans the vehicle's code and files the report with photos, description and location, no account needed, and it becomes an assigned, tracked path through to closure and the asset's history.

  • Cost per asset

    Maintenance, parts, fuel and hours in one figure per asset, with a monthly trend and a comparison between projects, built from approved records rather than re-entry.

What this industry asks before deciding

What is a fleet management system and what does it cover in TAC Flow?

A cloud platform that manages the company's operating assets: the vehicle and machine register, preventive maintenance, fault reports, documents, movements, fuel and reports. Modules are enabled per company, so you start with what you need.

Does the system track vehicle locations live on a map?

No. There is no live tracking of a vehicle's location; location is recorded with the field action or the approved movement, and the platform needs no device installed on your assets. Continuous tracking on the road needs a tracking device and a provider service that are separate from TAC Flow.

Is it for heavy equipment or only for cars?

For both, in two separate registers: vehicles are numbered separately from machines, a machine is measured in operating hours and a vehicle in kilometres, and each unit of measure keeps its own readings.

How do we move our current fleet from spreadsheets into the system?

By bulk import from ready templates with dropdowns that match the system's fields, for assets, staff and past movements. It is better to start with the critical assets that operations depend on, then expand.

Does the system predict breakdowns before they happen?

There is no independent automatic prediction. The report classifies assets as urgent, near and scheduled from the frequency of recorded faults and operating hours against the defined maintenance intervals — an analysis of what was actually recorded.

Does it connect to our accounting and planning systems?

Through the integration module: keys with defined permissions, read endpoints for assets, maintenance, faults, movements, fuel and meters, and signed real-time notifications, with ready integration guides for published systems. There is no ready two-way accounting link, and the module is enabled on explicit request.

Who can sign in and with what permissions?

Roles include system manager, maintenance manager, movement controller, technician, storekeeper, accountant and view-only, and each role has a defined project scope. Each company's data is isolated from the others at the level of every request.

How long does rollout take and does the team need heavy training?

The interface is Arabic and direct, most field actions start by scanning the asset's code, and the team's first setup is done in a short session.
